SAR – Semi Annual Report

Manual of Procedure 2004   17.020 Each Club shall certify to the board the number of its members on 1 July and on 1 January in each year. This certificate shall be signed by the Club President & Secretary and shall be submitted to the General Secretary.

 Manual of Procedure 2004   Glossary Report which each Club makes to RI on 1 July and 1 January of each year certifying to the RI Board the number of its members on such dates. The report is signed by the Club President & Club Secretary and is transmitted to the General Secretary on forms provided by the Secretariat for that purpose, or may be completed online by the Club President or Secretary. These reports are used for the basis on which the Clubs make payment to RI for per capita dues.

Secretary Manual 229-EN-(1004)  Page 16  One of your first and most important duties as Club Secretary is to prepare the SAR Semi Annual Report certifying the names and details of members of the Club to the Board of Directors of RI. Semi annual report forms are sent from RI to the incoming Secretary. If you do not receive your Club’s set of forms by 1 July request a set from RI. Complete this report carefully and accurately, secure the signature of the Club President, Sign the report yourself, and transmit it promptly to the General Secretary of Rotary International. The Semi Annual Report is Due on 1 July and becomes past due on 1 August. The second Semi Annual Report is due 1 January and becomes past due on 1 February.

The report (together with forms for reporting new Members or Changes or termination of membership) should be accompanied by a Check or draft to cover the per capita dues and payment for individual members and club subscriptions to the Rotarian or approved Rotary Regional Magazine. Failure to remit payment on schedule can result in suspension and subsequent termination of your Clubs RI membership. RI receives more than 30,000 of these reports; submitting them promptly will help RI maintain accurate records.

4. Send a copy of your SAR to your District Governor

5. Return appropriate information and payment:

  • A completed SAR report worksheet SAR Form
  • Updated Membership List
  • Any completed new Member forms not included in membership listing

Misc:

RI Accounts Receivable & Administration acknowledge that it is indeed fact that they do not initiate their first warning letter until 90 Days from SAR due date. This in no way indicates nor condones any Clubs delay for payment from the RI formal required SAR dates.

Q: Will the Club be advised on unpaid financial obligations to RI?
A:
Yes. 90 days (3 months) from due date, the RI secretariat will send reminder notices to all club secretaries whose club has unpaid financial obligations in excess of US$250. In addition, Club Balance by District Reports are regularly sent to all District Governors encouraging them to contact the clubs with indebtedness and to help resolve any outstanding amounts.

Note: SAR’s are sent from RI directly to the “Club Secretary of Record”. It is the Clubs responsibility to assure that RI Administration has The Clubs updated Secretary information.
